Residential & Dining Enterprises (R&DE), the largest auxiliary organization at Stanford University, supports the academic mission of the University by providing high-quality services to students and other members of the university community. The department has an annual operating budget of over $350M, operates 24/7/365, and oversees a $3B asset portfolio comprising a 7 million sq. ft. physical plant across the campus. In autumn quarter of the 2021-22 academic year, R&DE will return to providing housing for over 13,000 students and dependents, serving meals at 17 dining halls, 12 retail locations, and operating athletic concessions and conference operations. Additionally, R&DE comprises 900 FTE staff in the following divisions: Student Housing Operations, Stanford Dining, Stanford Hospitality & Auxiliaries, Stanford Conferences, Maintenance Operations and Capital Projects, and a team of R&DE strategic business partners: Finance & Administration, Information Technology, Human Resources, and Strategic Communications.

ABOUT MAINTENANCE OPERATIONS & CAPITAL PROJECTS (MCP)

 

This division supports all R&DE operations and provides strong stewardship of its facilities by delivering daily and preventive maintenance, executing 50-year asset renewal model, managing design and construction of capital and other essential projects, infusing sustainability, safeguarding occupational health and safety, monitoring life-safety systems and after-hours security, overseeing furnishings/fixtures and parts inventory, administering move services and the fleet, managing utilities and waste, ensuring emergency preparedness and business continuity, and providing space and property administration.

 

 

JOB PURPOSE:

Manage facilities operations and maintenance staff, including other supervisors/managers, over assigned area(s) or facilities, engaged in facilities, building, and/or equipment management or maintenance. Lead department/unit strategic management, and participate in long-range planning.

 

CORE DUTIES*:

  • Oversee the management of assigned facilities and programs staff (technically, operationally, and administratively), including: planning and directing the activities of department(s); monitoring maintenance activities for timely completion and quality; overseeing staffing, performance evaluation, and staff management; forecasting department or division staffing needs.
  • Create, develop, and manage budget for assigned area(s).
  • Participate in annual and multiyear project prioritization, planning, and funding; lead department/unit strategic management; may lead planning in some areas or segments; develop and review recommendations regarding short-term and long-range programs and projects, long-range financial and programmatic planning and development.
  • Develop and review policies and procedures; interpret and manage policies and procedures for assigned area.
  • Clarify and resolve complex problems spanning multiple areas or technical fields; develop or oversee program implementation within assigned area. Implement and oversee condition assessment programs. Manage assigned projects.
  • Research and develop new initiatives and technology to improve service, enhance revenue, and realize system wide opportunities.

ADDITIONAL DUTIES:

  • Manage an approximately 10-12 person Project Crew general labor shop including high level work planning, work quality assurance, staff training, performance management
  • Manage structural/architectural trades blanket contracts for repair services including paint, tile/grout, window screens, roof/gutter repair, carpentry, locksmith, specialty trades
  • Directly supervise other management staff related to unit operations
  • Supervise, directly or indirectly, any other staff assigned to this unit
  • Oversee moving and labor services contracts including forecasting/meeting temp labor needs for projects, seasonal operational needs
  • Oversee care and maintenance of all equipment relevant to operations managed
  • Provide programmatic support of seasonal/operational changes, furniture reconfigurations, renovation project support, summer conference programs reconfigurations
  • Oversee the management of furniture stock, furniture parts inventory, attic stock of floor coverings, other items in locations on-campus and off-site
  • Oversee the annual residence hall mattress replacement program
  • Oversee the maintenance operations area vehicle fleet management function
  • Oversee/manage directly special move-related projects
  • Oversee Preventive Maintenance Program Administration function providing/assessing preventive maintenance performance metrics from all shops
  • Functions as a rotational part of the Duty Supervisor program team providing after-hours guidance in resolving emergency situations

 

MINIMUM REQUIREMENTS:

 

Education & Experience:

Bachelor's degree in engineering or other appropriate technical area, or combination of technical education, training, and experience. Five or more years of extensive relevant professional and managerial experience in an environment with a variety of building types (administrative offices, classrooms, laboratories, residential & dining facilities, auditoriums, etc.).

 

Knowledge, Skills and Abilities:

  • Technical knowledge of best practices in facilities maintenance discipline
  • Demonstrated experience developing and managing budgets and service contracts
  • Demonstrated experience planning, developing, and implementing programs
  • Demonstrated experience understanding and applying relevant codes, regulations, and processes

Additional Knowledge, Skills and Abilities Considered Highly Desirable:

  • Demonstrated high level skills in a college/university housing and dining operations environment with preferred experience related to facilities, student occupancies, seasonal facilities changes in operations, occupancies
  • Experience with supervising bargaining unit staff
  • Experience managing labor service, move services, similar contracted services – acquiring services, managing contract labor, managing work quality; meet all university requirements for contract management compliance
  • Experience with move project management planning, organization, successful project execution
  • Familiarity with moving equipment, means, methods
  • Familiarity with managing trades services blanket contracts
  • Demonstrated knowledge in types of commodities and services being managed
  • Upper intermediate level computer skills in word, excel, project scheduling, work order systems/CMMS
  • Demonstrated ability to communicate effectively verbally and in writing, including explaining technical information to non-technical audiences

  • Demonstrates effective emotional intelligence, especially in situations with time constraints
  • Ability to coach, give and accept performance feedback; train and develop staff

 

 

PHYSICAL REQUIREMENTS*:

  • Frequently sitting, perform desk-based computer tasks, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Occasionally stand/walk, twist/bend/stoop/squat, grasp lightly/fine manipulation, use a telephone, lift/carry/push/pull objects that weigh up to 11-20 pounds.
  • Rarely kneel/crawl, climb (ladders, scaffolds, or other), reach/work above shoulders, grasp forcefully, writing by hand, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.

WORKING CONDITIONS:

  • Requires 24-hour response availability seven days per week for emergency situations.
  • May be exposed to noise > 80dB TWA.
