The Paideia School is an independent, progressive, pre-K through 12 college-preparatory school in the Emory University area of Atlanta. Paideia is seeking a new Facilities Administrator who will manage a variety of one-time and ongoing projects in the facilities department, as well as provide administrative support for the facilities maintenance department and the Director of Facilities. Responsibilities include a variety of tasks required to provide students, faculty and staff with safe, attractive, clean and efficient facilities.
Essential Job Duties and Responsibilities:
- Carry out special projects requests of director of facilities, including special research, maintenance procedures, inventories, safety, security and other areas
- Monitor costs and compliance with ongoing contracts (waste, janitorial, landscaping, etc)
- Purchase fixtures, furnishings and equipment, as well as specialty equipment for Maintenance
- Solicit bids for outside contractors as requested and assist with managing projects
- Monitor usage of campus utilities
- Assist in the recruitment and interview processes for maintenance staff
- Compile and coordinate summer facilities and maintenance projects list and schedule
- Monitor calendar for events and rectify conflicts in maintenance support and facilities usage
- Act as a liaison between maintenance department and faculty, staff and parents in regards to maintenance requests and event setups
- Recognize conditions of facilities to identify maintenance and repair deficiencies and report needed corrective measures to facilities director or maintenance manager
- Work with maintenance department to remedy unusual repair or cleaning challenges
- Maintain and distribute keys and security code
- Submit invoices
- Coordinate maintenance team meetings
- Develop and deliver compliance training
- Develop and monitor a work order system for maintenance staff
- Coordinate preventative maintenance schedule for maintenance staff
Occasional/As Needed Duties:
- Respond to requests or concerns from school neighbors and parents in absence of director of facilities
- Purchase and pick up equipment and supplies from local distributors
- Enter monthly maintenance general ledger budget
- Communicate with City of Atlanta for city-owned equipment repair requests
- Assist with emergency communications and respond to after-hours calls or issues
Required Skills and Abilities:
- Ability to clearly and concisely provide directions, expectations and follow up
- Proven strengths in organization, attention to detail, problem-solving, decision-making and customer service
- Ability to juggle multiple ongoing projects simultaneously and prioritize requests
- Strong skills with Microsoft and Google software applications
- Experience analyzing data to assess problems and find solutions
- Ability to draft reports and write with clarity
- Willingness to take direction and follow through as directed
- Self-motivated and willing to step in and help out wherever necessary
- Familiarity with facilities tracking and management software a plus
Minimum Qualifications:
- 3+ years of project management, administrative coordination and/or facilities management
- Valid Georgia drivers license
Working Conditions:
- Work is expected to be done indoors and occasionally outdoors
- Occasional evening and weekend work required as needed depending on emergency repairs and school events
Physical Requirements:
- Minimal physical effort may be required when performing these duties
Strength:
- Ability to walk 12-acre campus multiple times per week, occasionally in inclement weather
- Ability to work for several hours per day at a desk and at a computer
